2025 4-H/FFA EXHIBITOR FAIRBOOK
The 4-H/FFA Fairbook contains ALL the exhibitor rules, divisions and classes you can enter, and schedules for the 2025 4-H/FFA Fair. This document is
CRUCIAL to navigating the next few months. You must reference and utilize the Fairbook when registering your exhibits and animal projects to ensure your register correctly. 2025 4-H/FFA Fair Registration will
OPEN May 19th and CLOSE June 20th!
All youth planning to participate in the fair will have to register for Fair online via the
ShoWorks fair platform to be able to exhibit.
- Fair Registration link and How-To-Register guides will be sent out in mid-May.
- **Please note: Enrolling in 4-H back in Oct. 2024 – March 2025 on ZSuite
does not automatically register your child for Fair, ShoWorks is a separate website and database for Fair Registration specifically.

2025 4-H/FFA Fair Schedules
Wondering when your shows are? When your exhibits will be judged? What time to check-in and check-out? What about interviews?

The 4-H/FFA Fair Schedules have been published to our Fair webpage here:
4-H/FFA families with reserved RV camping spots will be permitted to move onto the Fairgrounds beginning on Saturday, July 12th. All RVs must be in place by no later than Monday, July 14th at 6pm. RVs will be allowed to leave the grounds at any time starting Sunday, July 20th with attention to livestock transport trailers and load-out schedules.
REMINDER: Sunday Schedule
The 4-H/FFA Livestock Areas are closed to the public on the last Sunday (07/20) of the Big Sky Country State Fair. Trucks, semis and trailers will be moving through the livestock areas throughout the day, so to ensure the safety and wellbeing of the general public, exhibitors, and animals, the areas will be closed off from the rest of the Fair.
For mutual benefit of the Fairgrounds and 4-H/FFA exhibitors, Sunday will remain a processor load-out and barn clean-up day. 4-H/FFA market animals that are sold through the Market Livestock Sale are terminal projects intended for meat consumption. At the request of the meat processors, animals are to be transported to their final destinations beginning Sunday morning. All other 4-H/FFA animals will be released from Fair intermittently throughout Sunday at the discretion of each species.
Exhibitors are still required to be at the Fairgrounds for this day, as they are expected to care for their animals until release, help clean barns and assist species committees.

Record Book Evaluations & Project Interviews
ALL 4-H Members participating in fair are required to turn in all Animal and Indoor project records and project workbooks to the Extension Office by WEDNESDAY, JUNE 25, 2025, by 5:00 pm.
ALL Gallatin County 4-H Members must participate in interview evaluation(s) for their Project(s) in order to enter exhibits in that project area at Fair.
Record books are required to be up to date and include:
- My 4-H Year (one per member)
- Project records: Animal or Non- Animal Project Journal & Financial Records (one per project)
- Project Manual/Curriculum/Workbook(s) for each project with 7 completed activities for this year (contact your project leader for what these 7 activities can be)
Record Book/Project Interview Scoring Process
- Record Books: Upon turn-in of your Record Books, Project & Club leaders will sign, review and score your records based on completeness, content and project standards utilizing a record book rubric. This will be your Record Book score.
- Interviews: During the Project Interviews prior to Fair, a judge will evaluate members on their interview skills (eye contact, confidence, attire, ability to answer questions), their 4-H Year experience and project knowledge utilizing an interview rubric. This will be your Project Interview score.
- Composite Score: The Record Book score (max points = 82) and the Project Interview score (max points = 48) will be totaled together for a Composite Score (max points = 130).
- Members with a Composite Score of 110 points (85% or higher) will get nominated to be considered for an end-of-year Project Award. Those nominated will be asked to re-turn in their completed Record Books in September for final review. Project Awards are presented at the end-of-year Awards Banquet.
Livestock, Horse & Small Animal Project Interviews
- Thursday, July 10 & Friday, July 11, 2025 4:00pm-8:00pm each day in Exhibit Building #4 at the Fairgrounds

- *Note: Dog & Cat Project members will also interview on these dates. If you are entering a Dog Educational Poster, please bring it to this interview.
- *If you are in more than 2 livestock projects (ex. swine and dairy cow) please sign up for TWO consecutive interview slots.
Indoor Project Interviews
- SUNDAY, July 13th between 12pm – 5pm in Exhibit Building #4 at the Fairgrounds
- Bring your project exhibit(s) as it will be evaluated during your interview with a judge.
- If you are entering projects in different divisions, you will need to complete an interview in each project division (Example: entries in Cooking, Photography and Crochet = 3 interviews)

CHANGES: Indoor Project Interview & Exhibit Judging
DATE & LOCATION CHANGE IN 2025:
- Due to increasing schedule conflicts with animal check-ins at the start of Fair week, Indoor Project Fair Interviews & Exhibit Judging will now be held on SUNDAY, July 13th from 12pm-5pm in Exhibit Building #4 on the Fairgrounds
ENTRY TAG PROCEDURE CHANGE IN 2025:
- All 4-H/FFA Indoor Project Exhibitors must pick-up their Exhibit Entry Tags (little identification tag that tells us who's exhibit it is and what division it is entered in)
PRIOR to their interviews/exhibit judging.
- Tags must be picked up from the 4-H Office between July 7-July 11 (you’ll already be picking up your scored record books from the office during this time).
- Entry tags must be securely attached to the appropriate exhibit upon arrival to your Interview on Sunday, July 13
- There will be NO add-on or write-in exhibits added on interview day - so plan ahead and enter everything you plan to exhibit by the Fair registration deadline
EXHIBIT PICK-UP will take place on Sunday, July 20th after 6pm or Monday and/or July 21st between 10am-12pm at Exhibit Building #3.
- Indoor entries are not to be removed from the Gallatin Fairgrounds until the end of fair. **NOTE: If items are removed early, premiums may be forfeited.

Enrollment Policy Change
The ULC’s Policy & Procedures sub-committee has proposed a policy change to our 4-H enrollment year window that would take effect in the 2025-2026 4-H Year. This policy must be published for 30 days to allow for any membership comment or feedback.
See below the proposed Membership Policy that would impact the enrollment deadline. Please contact the office with any questions or feedback on this proposed policy before May 1st. Thank you!
Membership Policy - Proposed changes in red text:
"The official Montana 4-H program year is October 1 through September 30. Gallatin County 4-H’s annual membership enrollment begins October 1st and closes March 1st January 15th. All members must be enrolled in Gallatin 4-H and add/drop any 4-H projects by this deadline. Re-enrolling members should be enrolled by Oct. 31st. Starting November 1st, a per month late fee will be added to the enrollment fee. Some Clubs and Projects have enrollment caps and may close prior to March 1st January 15th. Enrollment fees are to be paid annually, plus non-refundable per project materials fees."
Reasoning for Policy Change:
Gallatin County 4-H has one of the longest enrollment windows in comparison to other Montana 4-H county programs. This has allowed for as much accommodation, flexibility and "trickle in" of new and returning families as possible. Enrolling early and participating in as much as possible in our program is really important. The later you join, the more you miss out on. We have an on-boarding New 4-H Family Orientation in October/November of each year that covers crucial information for our program as a whole, deadlines, and requirements. Many clubs and projects also have orientation meetings and important information pertinent to a successful project is given in the first few meetings.
4-H is a big commitment and we want to be sure our youth and parents are set up for success from the start. Our program is run entirely by volunteers and if we continue to allow late enrollments past our deadlines, it is much harder for the volunteers to catch those newcomers up to the rest of the group.

Montana 4-H Record Book Survey
Montana 4-H is seeking statewide feedback on record books and would love to hear from you!
This survey aims to:
- Assess current record book completion processes,
- Identify the desired statewide purposes for record books, and
- Gather additional insights following an initial survey conducted in January 2024.
Your input will help us determine how to improve record books for the future.
Participants who complete the survey in its entirety will be entered into a raffle for a $100 gift card for 4-H swag from Shop 4-H. The deadline for submission is June 1, 2025. All 4-H youth, volunteers, parents/guardians, and MSU Extension faculty and staff are encouraged to participate.

Montana 4-H State Youth Awards - DUE May 1st
The Montana 4-H State Awards program is in place to recognize the outstanding accomplishments of 4-H members who have reached a standard of excellence in a project area. State Award winners have gone above and beyond regular project work with a focus on leadership, communication, and community service.
State Award recipients are recognized during the Banquet at Montana 4-H Congress in July and are eligible to attend National 4-H Congress in November, in Atlanta, GA.

24-Hour Giving Event: May 1st - 2nd, 2025
Gallatin County 4-H Foundation will be a part of the 2025
Give Big Gallatin Valley event. This event is a unique and fun way to give to local Gallatin Valley non-profits. The Gallatin County 4-H Foundation is one of the many non-profits that are taking part.
What is Give Big?
It is
24 hours of community members, friends, and families near and far donating to their favorite non-profits. It is an online giving platform so anyone anywhere can log in and donate. It was created as a fun and useful way for non-profits to have a platform to receive donations.
Why Give Big?
The funds that the Gallatin County 4-H Foundation raises will go towards supporting new projects and new clubs, scholarships to attend Montana 4-H Congress, the 4-H ambassador program, and higher education scholarships for Gallatin 4-H youth.
How can you Give Big?
Starting at 6pm on Thursday, May 1st 4-H supporters can go to Give to Gallatin County 4-H Foundation | Give Big Gallatin Valley 2025 to donate. The event ends just 24 hours later at 6pm on Friday, May 2nd. Donors can also stop by the 4-H Extension office and donate in person!

ALL! All-species workshops are not required, but we highly encourage any 4-H members in any animal project to attend to help you prepare for Fair! Especially if you are new to 4-H or if you are in need of an additional workshop to meet your species workshop requirement this year!
*ALL 4-H members must attend the required number of workshops for the species that you are participating in order to exhibit at the Fair. Animal projects allow you to count ONE All-Species workshop towards your species workshop requirement for the year if needed. *Please note: one all-species workshops cannot double-count for more than one species' workshop total.

The Montana 4-H Congress is back! If you're a 4-H member aged 13 or older, a volunteer, or part of the MSU Extension faculty and staff, we invite you to join us for an incredible leadership opportunity on the MSU campus in Bozeman this summer.
For over 100 years, 4-H'ers from across the state have gathered for this signature event, and 2025 will be no different. Montana 4-H Congress provides a unique experience where youth can learn, grow, and have fun in a collaborative, safe environment. Over four action-packed days, participants will take part in:
- State Competitive Events: Showcase your skills and talents in various contests, from public speaking to livestock judging. Visit the Congress Contest page for detailed info on the 11 statewide competitive events that take place during Congress on Wednesday July 9, 2025.

When: August 2 - August 5, 2025
Where: Yellowstone Alliance Adventures
Youth Campers: ages 8-13 (as of Oct. 1, 2024)
Camp is held during the summer and campers age 8 to 13 are encouraged to attend. Teens who apply and are selected, plan the camp program and serve the Camp as Counselors. They work under the guidance of Camp Directors and 4-H Extension Agent, and they learn valuable leadership and team building skills.
4-H Camp is a fun, educational experience that provides:
- Educational Opportunities
- Outdoor Recreation
- Independence
- Belonging
In 2025 we will again be having camp at Yellowstone Alliance Adventures. This is an amazing facility, and we are certain it will be a great week. Our counselors are busy planning educational workshops and experiences to keep your kids busy at the 4-H Summer Camp. Campers will love the zip line, themed workshops, giant slip n' slide, community service project and much more! Camp registration will be filled on a first-come, first-served basis. Preference will be given to active 4-H members, but our Summer Camp welcomes non-4H members as well!

UNLIMITED LEADERS COUNCIL (ULC)
Gallatin County Unlimited Leaders Council is the governing body of Gallatin County 4-H and all the committees within the county 4-H program.
The monthly ULC Board meeting was held on March 4, 2025, at the 4-H Office. The meeting started with reciting the pledges and continued with the approval of minutes, financial reports, and other regular business. Colyn gave an update on enrollment and there are 677 enrolled youth, and registration has closed. The Teen Leadership have been busy visiting Clubs and planning some fun county-wide events. At Rec Lab, the Teen Leadership will be giving a swing dance workshop.
Volunteer Appreciation Week is April 20-26. There will be a survey going out to membership asking to vote for leaders and volunteers. Bonnie spoke about the Montana 4-H State Youth Awards. The application is due May 1 to the State 4-H office.
The County-wide contests (Communications Day, Better Batter Baking and Stir-Ups Cooking) were held Feb 21-22. The events were great and Awards Night will be held March 6th.

MARKET LIVESTOCK COMMITTEE (MLC)
The purpose of the Market Livestock Committee is to develop and promote all market livestock projects (Beef, Sheep, Swine, Goat, Rabbit, and Poultry) in 4-H and FFA on a county-wide basis, with support offered to non-market projects as well (Dairy Cow, Dairy Goat, Horse, Breed/Breeding projects).They provide members the educational experience and support to responsibly raise, care for, and sell their 4-H/FFA market animals; organize & facilitate the Gallatin County 4-H/FFA Market Sale; create and enforce the FairBook Rules specific to all livestock species; and work together as a committee to set and enforce the standard for all livestock projects.
There will be no meeting in April - Our next committee meeting will be
Monday, May 12 at 6pm at the Extension Office.

GALLATIN 4-H FOUNDATION, INC.
The mission of the Gallatin 4-H Foundation is to aid and promote, by financial assistance and support, all types of 4-H Programs and other Extension Youth Programs.
Meetings occur quarterly and/or when needed, usually on the 4th Thursday at 6pm at the 4-H Office.

Meetings take place the second to last Tuesday of each month.
Our March meeting was replaced with a sledding expedition! There were many families to hang out with, it was a very nice day, and we hope to continue the tradition in future years.
Remember to turn in your Dag Nabids Personality sheets to Remi to help with the club yearbook. Our next meeting will be Tuesday, April 22 at the Animal BioScience Building at MSU.

Gateway Challengers Club
Meetings take place the second Monday of each month at the Gallatin Gateway Community Center (145 Mill St., Gateway) from 6:30- 8:00 p.m.
The Gateway Challengers met on March 10, 2025 for our monthly club meeting. We ate chili for dinner while kids set up for their make-up demonstrations. After finishing the demonstration speeches, we had time to work on our yearbooks, specifically My Year In 4-H. Our next meeting will be Monday, April 14, starting at 7pm (not 6:30), and there will only be dessert, no dinner. We will be having a field trip instead of our regular club meeting in May! So there will be NO meeting at the Community Center on Monday, May 12.
Our field trip will be Saturday, May 31, and we will be going to the Alpacas of Montana farm on Cottonwood Rd. We need to know how many people would be coming so we can plan with the tour coordinator.

For the Pass Creek 4-H Club’s March meeting, we had our demonstration day followed by a potluck after we finished all of the demonstrations. We had a variety of types of demonstrations, including crafts, cooking, wilderness survival, pet training, caring for a pet, and a presentation on Formula 1. As we finished the night off with a potluck we enjoyed dishes coming from various members, which was a great time to talk and build bonds with other members.

Erin our Cloverbud leader has requested some "helping hands" at her monthly Cloverbud meetings to help wrangle the 50+ 5-7 year olds through their activities. Ambassadors have been assigned a month, but Teen Leaders can join in whenever their schedule allows. No need to coordinate with Erin prior, just show up and she will tell you everything you need to know to help! Cloverbud meetings start at 5:30pm and are held in the exhibit buildings at the Fairgrounds (building TBD for each meeting based on building availability)

Sunday, April 13th is the MANDATORY weigh in and demo of control. We will send a time and a place around April 1st. You must be able to independently lead your steer without a parent. Parents will be asked to stand back for safety reasons. If you don’t pass this little test you will have 30 days and we will meet again. In order to attend fair your steer must be controlled by each student. This demo will count as a workshop. See you all soon!

CAT
Hello all - I hope you are all enjoying this amazing warm weather we have been having!
Our March meeting was extra fun as we all took a fun quiz together on cat facts, then discussed grooming from brushing to nail trims to cleaning ears and faces. We finished up with a taco bar dinner thanks to the Beamer family. A huge hit with all!
April’s meeting, on April 2nd from 5:30-6:30pm at Alpenglow Animal Hospital, I would like everyone to bring a photo of their cat’s face and body (standing if possible) so we can vote on body types each kitty has in case the subject comes up at fair during showmanship (as you may have read in your project book, cats can each have a different “type” which the judge can ask you about your cat), and we will chat about health, a veterinary examination, and common diseases in cats. I’m considering a pasta bar for dinner, and hope to see everyone there!
Please RSVP with numbers, and if anyone is willing to help with the pasta bar! Who volunteered to bring their kitty to this next meeting at our last meeting?

CLOVERBUDS (AGES 5-7)

In March we had our MSU student teachers, they planned the whole meeting and we learned about community helpers, made kindness flowers, a giant "Thank You" note and played some fun games. It was very cool to have these awesome young ladies join us!
Our next meeting will be Wednesday, April 16th at 5:30pm at the Fairgrounds. Another pair of great MSU students will be setting up some great stations to help us learn about horticulture.
We will meet once a month at the fairgrounds in the evening from 5:30-7ish on the third Wednesday of each month. We have 2 meetings left, our last meeting in May will be a social potluck, an informational meeting about bringing projects to the fair and a time to help Erin create our booth for the fair.
I will send an email each month a few days ahead of time to let you know which building we are in (it can sometimes change based on availability) and what you need to bring for each meeting (this should be supplies you have at home: something like crayons, glue stick, stuffed animal etc).

Hello Everyone!
Dog agility is in full swing and our first two meetings were great! If you were not able to attend the first two classes in March, please reach out to me because it is not too late yet to join in. We will be meeting every Tuesday in April at 4:30pm at Montana Murray Kennels. Please make sure that you always wear close-toed shoes and that you are ready to work outside if we decide to.
If you have not yet brought in or emailed up to date vaccine records, please make sure to get those to me ASAP. On April 15th I will have everyone bring in their record books/journals as well as project books so that we can spend a little bit of time answering questions on those. We will still be working dogs that day so be sure to bring them as well!
In the meantime, if you have any questions or concerns, please let me know or if you were not able to attend the first two meetings please reach out and we can discuss what we need to do to get you up to speed.

HORSELESS HORSE
Are you enjoying this warmer weather like I am? It feels like we've turned a corner with shedding horses and green grass poking through!
In March, we met to learn more about horse breeds and how to measure a horse. We measured our friends, then converted their height to "hands" to determine if they were tall or little horses. In teams, we dug through unique breeds from around the world and marveled over some interesting facts. We also had a March Madness Memory Tournament by squaring off with other members using a memory game of horse breeds.
Our project will be volunteering at the Gallatin Valley Tack Swap on Saturday, April 26th. We will be creating a map for the event, greeting buyers, and showing the Gallatin Valley what the Horseless Horse project is all about! More details to come, but please plan on signing up for a shift on that day!
Be on the lookout for an email concerning our May meeting and a make-up meeting for Pizzas and Project books! In the meantime, please be working on your project books and your record books... FAIR really is just around the corner!

You've already met Kate Newton who is the additional crochet co-leader and on Saturday, April 5, 10am-12pm, at The Springs you will get to meet Kim Hackl who has shown an interest in helping co-lead the knitting group.

LEATHERCRAFT
NOTE: The Pictorial Carving Class is changing from April 5th to April 12th - see details and RSVP request below
This pictorial class will introduce the students to how they can use the six basic tools and the swivel knife to create a landscape image. The cost of this class is $10 which covers the cost of the leather and will run from 9am-12pm on Saturday, April 12th at the extension office conference room where we have our regular meetings. This morning class is open to ALL l leathercraft students. For students who are in their second year of leather there will be an additional class they can attend that will cover figure carving from 12 – 4 pm on April 12th. This class will also cost $10 to cover the cost of the leather used in the class. (So, second year and up leather craft students can attend both classes for a total cost of $20).
**To ensure that we have enough leather for everyone who plans to attend these additional classes, PLEASE RESPOND TO MY LAST EMAIL LETTING ME KNOW YOU PLAN TO ATTEND ANY OF THESE CLASSES BY MONDAY APRIL 7TH. Registration fees will be collected on the day of the class.
*Our next regular leathercraft meeting will be the following weekend, Saturday, April 19th at 1pm. I will have a small project for the students to do that will cover how to stitch a project. THIS CLASS WILL NOT LAST THE WHOLE TIME, so please if you kids want to work on another leather project (i.e. belt, wallet, bracelet, etc) that you have them bring it. The April and June project meeting will be focused on helping the kids finish any of their own projects they would like to complete. I will not have anything specific for them to work on so please have them bring their own projects. I do have coasters, napkin rings, and bookmarks that can be purchased from me if you desire.

ASSIGNMENTS:
1. PERSONAL PROJECT PORTFOLIO THESIS – You need to decide on a Thesis/Theme for your Personal Project portfolio this month. You will have until April 22 to take pictures (8-12). We will critique at the nex meeting, and then you will have until the May meeting to retake, fill gaps, etc. for your portfolio.
2. PROCESS PORTFOLIO - Start thinking about the assignments and process photos that you've taken to build skill. Which series do you want to include in your process portfolio for Fair?
3. PHOTO ASSIGNMENT - Odd angles and different perspectives - as you're travelling or hanging out on spring break, try taking pictures of a subject for unique angles - (get low on the ground, shoot from above, frame them so only half of your subject is in the picture, get up close, get far away.... mostly get creative. I'll create a new album after our meeting tomorrow.
Photo walk - I'm trying to find time for a photo walk in the next month. Unfortunately my parents are needing some help, so I'lll be travelling to Wyoming a lot in the next month. I'll keep you posted on what I can make happen.

Happy April to the 4-H poultry project members!
Thank you to everyone for getting in their signed market/poultry contracts in March. An additional thank you goes to Rob Brownell, Rachel Colton, Moriah Colton and Madison Oostema who all were station presenters for our March workshop on eggs. Members attending the March workshop learned about incubation, parts of an egg, egg types/colors and were able to learn about egg quality and how to judge an egg.
We would also like to congratulate and welcome Douglas Fountaine as a new youth member for our poultry leader's committee. Douglas has been a poultry project member for the past seven years and is looking forward to helping educate the younger members and sharing his poultry knowledge with others.
Our next workshop will be held on April 10, 2025 from 6:30pm to 8:00pm at the Fairgrounds (location one of the exhibit buildings). We will be working on record books so please plan to bring your records and workbooks. We will also be covering a surprise poultry topic that will be led by our leaders committee youth members. Any questions please contact one of the 4-H poultry leaders.

RABBIT - Market or Breed/Pet
Our March rabbit project meeting consisted of learning how to prepare a rabbit for show and the tools needed to keep them clean and ready for judging. We followed with a round of Jumpardy (rabbit facts game) with plenty of candy for members with correct answers. Keep studying your rabbit facts!
April 17th will be our next meeting. We will be in Exhibit Building #4 at 6:30pm. Dr. Arndt will be in to tell us all about keeping our rabbits healthy and understanding signs of illness. Our seniors will have a special session with her for more advanced topics.
April 26th is our annual Rabbit Rendezvous - location TBD. It will start at 8am for rabbit check in with the first show to start promptly at 9:00 am. We should be finished by noon. Keep your eyes on your email and Remind App for more details.

Remember to bring your pattern instructions, cut out fabric, thread and any other notions needed for making your project. WESTERN HERITAGE PROJECT

Hello Western Heritage Families - Happy April!
At our March 11th meeting, two representatives from the Museum of the Rockies shared what daily life looks like working in the Tinsley House. They spoke about how the Tinsley home ended up at the museum and how they work to teach others about life during the 1860-1900's. They also brought a great selection of items from the western heritage timeframe.
We will be meeting twice in April:
April 8th- Clothing history, work on personas
April 15th- Finish unfinished business
Classroom meetings are located in the large conference room at the Extension Office. We meet from 6:00 pm-8:00 pm.
Looking towards Fair- If you are interested in entering an individual Western Heritage display, the check-in date for indoor projects is July 13th. This is a Sunday, not the usual Monday. Look for more Fair updates from the 4-H office.

- Members 3rd year or more in Swine - NEW -You have the option of using books 2/3 or we have a list of activities for you to choose from. You will still need to complete 7 activities total and turn in the written piece for any of the activities you choose from the list. These will be turned in with the standard My 4H Year and financial worksheets in your binder or folder. The list is attached to this email.
